How the suggested order is calculated

The four steps of the calculation, including cases, minimums, and products that expire.

Abastecia calculates each order so you don't run out of a product before the next delivery arrives, without buying more than you need. You can see it step by step on each product's page.

The four steps

  1. How much you'll sell until the next delivery. We add the supplier's lead time to the time until your next order. For example, if the supplier takes 7 days and you order every week, that's 2 weeks. We forecast how much you'll sell in that time.
  2. A safety buffer. In case you sell more than usual or the supplier is late. It's bigger for products that sell irregularly and for your most important ones.
  3. What you already have. We subtract your stock and anything you've already ordered that hasn't arrived yet.
  4. Adjusting to the supplier. We round up to full cases and, if there's a minimum order, we respect it.

Order = forecast sales + safety buffer − what you already have, rounded to cases and minimums.

How we forecast sales

For each product in each store, we try several methods on its own sales and keep the one that would have been most accurate over the last 8 weeks:

  • For products that sell every week: averages that give more weight to recent sales and, if sales are going up or down, also account for the trend.
  • For products that sell only now and then: methods designed for occasional sales.
  • With 2 or more years of history, we detect each product's seasonality.

Special cases

  • Products that expire: if you enter the shelf life, we don't order more than you can sell before it expires.
  • Minimum order too high: if the supplier's minimum would give you stock for more than 6 months, we don't order it automatically; we alert you so you can decide.
  • New products: with less than 6 weeks of sales, the forecast is approximate, and we alert you so you can check the quantity.
  • Budget: if you set a maximum budget, we postpone the least urgent items first (Professional and Business plans).

How important each product is

We rank your products by how much they sell in money:

  • A: your biggest sellers (around 80% of your sales). They get the biggest safety buffer.
  • B: medium importance.
  • C: low sales.
